How to prepare shipping labels in batches for a thermal printer

The slow part of a busy dispatch session is often the repeated preparation: open a file, find the label, crop it, save it and start again. A batch workflow reduces those repeated steps while keeping the final checks in your hands.

Start with the original label files

Collect the PDFs or images supplied for the orders you are actually sending. Keep each label associated with its order or item, especially when several products look similar. Use the original download where possible: a screenshot of a screenshot can make a barcode harder to read.

A shipping label already formatted for your printer may not need cropping. If a label is surrounded by instructions or sits inside a larger page, the useful work is isolating the label area without cutting into its barcode or required margins.

Use one preparation queue instead of repeated file editing

In InventoryOS, open Dispatch Centre and upload your shipping-label files. Supported layouts are automatically cropped for a 4 × 6 label workflow. On Pro or Business, you can also forward supported attachments to your workspace’s unique shipping-label email address.

That address provides a route for incoming labels; it does not require connecting your Gmail mailbox. If you use a forwarding filter, keep it specific to shipping-label messages. Check the import progress, then work through the resulting queue rather than repeatedly opening separate editing tools.

Review the crop and match the parcel

Check the carrier, delivery details, tracking barcode and edges of each prepared label. Automatic cropping supports particular layouts; an unfamiliar or changed layout can need manual attention. A file reaching the queue is not a substitute for checking its contents.

Match the label to the correct product and packing job before attaching it to a parcel. When printing a stack of labels, keep the parcel order consistent or handle one parcel at a time to avoid mixing them up.

Choose a mobile or desktop printing route

On a phone, use the Packing Queue’s Mobile print cropped shipping labels option and the print or share workflow supported by your printer. On a desktop, Pro and Business support QZ Tray direct printing after the printer driver and secure-printing setup are configured.

Start with one test label on the correct paper size. Check that the driver is not adding page margins or shrinking the label. Printer compatibility depends on the device, driver and printing app; Bluetooth alone does not guarantee every mobile printing route will work.

Measure your own repeated preparation time

Time the opening, manual cropping and saving steps for a few representative labels. Multiply that average by the number you prepare in a normal session. For example, 30 labels at 20 seconds of manual preparation each involve 10 minutes of repeated work. This is an example of manual preparation time, not a measured InventoryOS saving: importing, reviewing and printing still take time.

The label-preparation calculator lets you try your own figures. Compare a complete session before and after changing your workflow, including corrections and final checks.

Which plan do you need?

Starter includes label uploads, cropping, Dispatch Centre and mobile label printing. Pro and Business add the workspace shipping-label email address, previous-email reimport and QZ Tray direct printing. You can begin with the free stock tools, but cropping itself requires a paid plan.
